Maintenance processes that were hard to make reliable.

Hauraix Location TP is a Nantes-based company renting public-works trucks and machinery with operators, working exclusively in the civil-engineering sector. Its positioning is built on a turnkey service with a driver, both for large contractors (Eurovia, Vinci, etc.) and for private customers, with growing attention to the environmental impact of worksites, notably through CO2 tracking on invoices.

Before Hiboo, the main challenge was tracking mandatory periodic inspections (VGP) and servicing across a growing fleet, with a legacy tool and very manual processes.

Tracking VGP deadlines and preventive servicing relied largely on the workshop teams:

  • Manual meter readings on machines to trigger preventive servicing (for example "every 500 hours").
  • Maintenance information scattered across software, Excel files, paper documents, and phone calls.
  • Critical documents (registration papers, contracts, VGP) shared by email or phone between drivers, the front desk, and operations.

With only 2 people in the workshop for around 80 road vehicles, an emergency could easily push back scheduled maintenance, or even lead to a missed intervention.

Limited visibility per vehicle.

The history of trucks and machines was scattered, with no overall view by registration number: it was hard to see, at a glance, upcoming VGPs, completed servicing, and the compliance documents associated with each asset.

In this context, Hauraix Location TP was looking to:

  • Secure its regulatory framework (VGP, compliance).
  • Simplify daily work for the workshop and drivers.
  • Better leverage its usage and CO2 data with its customers.

Solution

Hauraix Location TP chose Hiboo to track and secure regulatory maintenance and compliance documents across the entire fleet, drawing on the maintenance module and the centralization of documents by asset.

Structuring maintenance with Hiboo.

In practice, Benjamin Renault, in charge of the rollout:

  • Created VGP maintenance plans with 183-day intervals in the Hiboo maintenance module.
  • Set up maintenance alerts to anticipate deadlines and avoid oversights.
  • Configured document-expiry alerts (VGP, documents with validity dates, etc.).

VGPs are no longer triggered based on manual readings and scattered reminders, but scheduled and tracked automatically through the intervals and interventions in Hiboo.

Centralizing critical documents per vehicle.

In parallel, Benjamin began manually uploading all critical documents for each vehicle into Hiboo:

  • VGP.
  • Registration documents.
  • Service contracts, etc.

These documents are now attached to each registration number in the Documents tab, allowing drivers and the workshop to access them directly from their phones during an inspection or roadside check.

Connecting telematics and feeding CO2 invoicing.

Thanks to the multi-OEM / telematics connection (Sensolus, Volvo Trucks Connect, Connectic, Takeuchi, Liebherr, MAN, Doosan, JCB, etc.), Hiboo automatically pulls in:

  • Meters and usage of trucks and machines.
  • The data needed to calculate CO2 emissions.

This data is then sent to Matos, and on to the ERP, to enrich customer invoices with:

  • Machine working time.
  • The associated CO2 emissions.

The information requested by clients on the environmental performance of worksites is thus available with no manual reprocessing.

Results

1. VGP and documentary coverage already largely centralized

The structuring work is already well advanced: the organization has integrated more than 80% of its fleet into Hiboo, with all of:

  • Compliance documents (VGP, registration papers, service contracts).
  • Maintenance and expiry alerts.

Hauraix Location TP thus reduces the risk of a missed VGP or of failing to present a document during an inspection, while simplifying access to information for the workshop and drivers.

2. Invoices systematically enriched with CO2 and usage data

Now, 100% of customer invoices include, at the end of the document:

  • Machine working time.
  • CO2 emissions calculated from Hiboo / Matos data.

Each week, around 30-40 customers receive this environmental and usage information on their invoice.
